1. Personnel Management
The roster is the foundation of the Schedule-Pro ecosystem. Effective onboarding ensures that the AI engine can correctly assign tasks based on staffing hierarchy.
SYSTEM 1Single Roster Entry
Use the "+ ADD MEMBER" tool for individual onboarding. Assign a Category Header (e.g., 'Supervising Librarian') to define the employee's place in the sorting hierarchy. Identity colors help distinguish staff in the grid.
SYSTEM 2Bulk Processing Matrix
For large-scale teams, use the Bulk Tab. Enter data in the comma-separated format: Name, Role, Branch, Site, #HexColor
2. AI Optimization Engine
The Genkit-powered optimizer automates the heavy lifting of daily shift distribution by analyzing your branch's specific operational constraints.
Staffing Rules (Hard Logic)
- "Page" roles are restricted to exactly 4-hour shifts.
- Full-time roles default to 9-hour windows (including lunch).
- Shifts never exceed established branch operating hours.
Branch Source of Truth
The AI automatically detects the day of the week for the selected date. For example, it knows Rinconada is CLOSED on Thursdays and Mitchell Park closes late at 9 PM Mon-Thu.
PRO TIP: Use "Generate with AI" as a base draft, then manually refine special requests.

The visual roster management suite provides granular control over individual shift blocks with zero friction.
Snap-to-Grid
Shift bars automatically align to 15-minute increments for pixel-perfect scheduling.
Quick Edit
Double-click any shift block to modify the label, time, or visual color identity.
Rapid Logging
The Assign Task form persists, automatically setting the next start time to your previous end time.
4. Blueprints & Synchronization
Move from daily management to long-term operational planning with our replication tools.
Save Blueprint
Convert any finalized daily roster into a Blueprint. These are branch-specific templates that can be instantly reloaded to any future date.
Execute Sync
The "SYNC BRANCH" tool allows you to clone a source date's full rotation across a custom date range (e.g., repeating Monday's schedule for the next 4 weeks).
5. Access & Security Matrix
Schedule-Pro employs a dual-tier access model designed for maximum data transparency and secure administrative control.
The /schedule Route
Decoupled from authentication. Any staff member can view real-time rotations without logging in. All interactive grid controls are disabled in this view.
The /admin Route
Strictly guarded by Firebase Auth and Role-Based Access Control (RBAC). Only users with verified Admin claims can modify roster data or system branding.
